  • Passengers can neither cancel nor request a refund for Economy Light tickets, but they might be able to change them depending on the fare rules.

  • If you are eligible under EU Regulation 261/2004, you will get a refund for the unused portion of your ticket.
  • As per the cancellation policy, an administrative fee of up to £30 per traveler (£3 for infants), may be deducted unless certain conditions apply, like a significant flight delay.
  • In case of the death of a passenger before completing the trip, the policy provides a refund for the unused ticket portion without administrative fees.

24 Hour Virgin Atlantic Cancellation Policy

  • Virgin Atlantic's 24-hour Cancellation Policy allows its passengers to cancel their tickets within 24 hours of booking and get a full refund. Even if it is a non-refundable ticket, as long as you purchase it at least seven days before the departure time.

Virgin Atlantic Refund Policy 

  • Virgin Atlantic's refund policy depends on the ticket type and the reason for cancellation.
  • If customers cancel within 24 hours of purchase, they will get a full refund, but they must have bought the ticket at least seven days before their flights.
  • Unless you have special circumstances like severe illness, bereavement, emergencies, or schedule changes, non-refundable tickets, and cancellations after 24 hours usually do not get refunds.
  • You must check the fare rules and conditions when booking so you can understand refund fees or restrictions conditions.
  • You may qualify for a full refund in some cases, like Virgin Atlantic flight cancellations, Virgin-initiated schedule changes, or boarding denials.

  • Your ticket must be unused or partially used to request a refund.
  • You can also cancel and refund an original ticket before midnight the day after ticketing.

  • Submit both the "Claim a refund for your booking" and "Claim a refund for your seats/upgrades/excess baggage" forms on the Refund Form if you want a refund for your entire booking, including seats, excess baggage, or upgrades.

Cancellations and Disruptions Policy

  • Virgin Atlantic's policy for flight cancellations and disruptions is designed to help passengers in case of delays, cancellations, or other issues. Virgin Atlantic makes sure passengers know about any changes to their flights and offers alternatives like rebooking or refunds. The airlines aim to minimize inconvenience by providing compensation, meals, and accommodation when needed.
  • Virgin Atlantic follows the sets of rules that come under EC Regulation 261/2004 for assisting and compensating passengers during flight disruptions:
  • If your long-haul flight is delayed by more than 4 hours, you get:
  • Meals and refreshments during the wait.
  • 2 short phone calls, telex, email, or fax messages.
  • If your long-haul flight is delayed by more than 5 hours, you can:
  • Cancel your flight and get a refund for the unused part of your ticket, including the part you have already traveled but it is no longer useful.
  • If you've already started your trip, they will offer a return flight to your initial departure point on the next available flight if needed.
  • Choose an alternative flight under similar conditions if seats are available there.
  • You can opt for a later flight to your destination with comparable conditions (but you will need to cover hotel, meal, and transportation costs).
  • If you need an overnight stay, Virgin Atlantic offers free hotel accommodation and transportation between the airport and the hotel. However, this does not apply if you choose a later flight on a different date.

Award Cancellation Policy

  • Virgin Atlantic's Award Cancellation Policy lets Flying Club members cancel or change their award tickets and get their points back.
  • This policy started on November 30, 2021, and it applies to all award tickets.
  • Award cancellation fee
  • If you cancel an award ticket less than 24 hours before your flight, Virgin Atlantic charges a cancellation fee. However, if regulations are preventing the fee, you may not have to pay it. 
  • The fee structure:
  • £30 for flights starting in the UK.
  • USD 50 for flights starting in the US.
  • The equivalent of USD 50 for flights starting in other regions.
  • If customers use both Points and money for their tickets, their refund will follow the tickets' fare rules. You will not get those Points back if you apply Virgin Points for a discount. If your flight is changed, suspended, reduced, or canceled, you can get your points back. But if you used Virgin Points to book a flight and did not travel, those Points will be returned to your account.

Virgin Atlantic Cancelled Flight Policy

  • Virgin Atlantic's Cancelled Flight Policy gives you options if your flight is canceled or the schedule changes:
  • Passengers can choose other flights with similar conditions on a date that suits them without paying an extra cost. They can contact Virgin Atlantic or their travel agent to rebook.
  • They can convert their tickets into Travel Vouchers, if available, and use them later.
  • If the new ticket costs more, you will need to pay the difference. You can also rebook for a different destination if seats are open with fixed extra charges.
  • Also, get a refund for the unused part of your flight. If you book directly with the airline, request a refund online.
  • Customers might get compensation under EU Regulation (EC) No 261/2004 if their flights are canceled within 14 days of departure and the replacement flight is more than 4 hours later. 
  • No compensation applies if:
  • The cancellation happened due to unavoidable reasons like bad weather, political issues, safety concerns, strikes, and more.
  • You are traveling for free or at a reduced fare not available to the public.
  • To qualify for compensation, you must have:
  • A confirmed reservation
  • A complete check-in at least 60 minutes before departure
  • Booked directly with Virgin Atlantic.
  • Apply for compensation:
  • Use the online form for each passenger with flight details.
  • They will acknowledge your application within 14 days. The process takes around 28 days or longer.

  • Cancel Virgin Atlantic Flights by Phone
  • Follow the Steps:
  • Call Virgin Atlantic customer service.
  • Follow the prompts to speak with a representative.
  • Have your booking reference number/ticket number, flight number, and travel date ready.
  • Provide the required information to the representative.
  • They will guide you through the cancellation process and inform you of any fees.
  • Calling ensures personalized assistance and accurate communication.
  • Call as soon as possible to avoid penalties or restrictions.

Compensation for Cancelled Virgin Atlantic Flights

  • If Virgin Atlantic cancels your flight within 14 days of your scheduled departure or if your flight arrives more than 3 hours late, you might qualify for compensation. The compensation depends on the reason for the cancellation or delay and when your new flight arrives.
  • For long-haul flights (over 3,500km):
  • £260 if your new flight lands within 4 hours of the original flight.
  • £520 if your new flight lands 4 hours or more after the original flight.
  • For medium-haul flights (1,500 – 3,500km):
  • £175 if your new flight lands within 3 hours of the original flight.
  • £350 if your new flight lands 3 hours or more after the original flight.
  • For short-haul flights (less than 1,500km):
  • £220 if your new flight lands more than 2 hours after the original flight.
  • You will get compensation if Virgin tells you about the flight cancellation:
  • Between two weeks and seven days before your original flight's scheduled departure, they offer you an alternative flight departing within two hours before your original flight's departure time and landing at your destination less than four hours after your original flight's scheduled arrival time.
  • Less than seven days before your original flight's scheduled departure, they offer you an alternative flight departing within an hour before your original flight's departure time and landing at your destination within two hours after your original flight's scheduled arrival time.
  • You also will not get compensation if the flight cancellation (or delay) is beyond Virgin Atlantic's control or due to unavoidable disruptions like:
  • Bad weather
  • Air traffic decisions
  • Natural disasters
  • Flight safety concerns
  • Political instability
  • Labor disputes
  • Security risks and more.

Virgin Atlantic's Boarding Denial Policy for Overbooking

  • Voluntary Boarding Denials:
  • If Virgin Atlantic cannot provide its customers with seats due to overbooking, they can use Virgin Select.
  • The policy lets customers voluntarily give up their seats and choose to get a refund for their unused tickets.
  • They can fly later on a Virgin flight for free or at a discount, and receive free meals, refreshments, and overnight accommodation based on your wait time. Ask Virgin's airport staff for further details.
  • Involuntary Boarding Denials (Against Your Will):
  • If passengers are involuntarily denied boarding, they can get compensation based on their new flight's arrival time:
  • £220 if their new flight lands within 4 hours of the original flight's arrival time.
  • £520 if their new flight lands 4 hours or more after the original flight's arrival time.
  • You can also choose to cancel your flight and get a refund for the unused and used portions of your ticket if it is no longer useful.
  • Take the next available flight under similar conditions if there are seats, or choose a later convenient flight.
  • You will need to cover hotel, meal, and transportation costs.
  • You will also get proper care, which means:
  • Meals and refreshments, depending on how long you have to wait. They'll also let you make 2 short phone calls and send emails, faxes, or telexes.
  • If your new flight leaves the next day and you have to wait overnight, they'll give you a hotel to stay in. They'll also arrange transportation to and from the hotel.
  • Note: Passengers get these benefits if they have a confirmed booking on the concerned flight and check in at least 60 minutes before the scheduled departure time.
  • Exceptions:
  • Passengers will not get the benefits if:
  • They are traveling for free or at a special discount not offered to everyone. (But this doesn't include award tickets booked with frequent flyer points).
  • They were denied boarding because of safety or health issues or because their travel documents weren't sufficient.

Boarding Denial Policy for Passengers Departing from U.S. Airports 

  • If you cannot get on a flight leaving from a U.S. airport, follow the rules from the U.S. Department of Transportation (14 CFR 250.9) to get help.
  • When you cannot get on an international Virgin Atlantic flight from the U.S. because of overbooking:
  • If Virgin Atlantic can get you to your first stop or destination within an hour of your original flight, you will not get any compensation.
  • If it takes more than an hour but less than 4 hours, you will get compensation equal to 2 times your fare, up to a maximum of USD 675.
  • If Virgin cannot get you there within four hours, you will get compensation equal to 4 times your fare, up to a maximum of USD 1,350.
  • Exceptions:
  • You will not get denied boarding compensation if:
  • You did not follow Virgin's ticketing, check-in, or reconfirmation requirements, or adhere to their usual rules.
  • Your flight is canceled.
  • A smaller aircraft is used for safety or operational reasons.
  • An aircraft with 60 or fewer seats has payload limits for safety.
  • You are placed in a different part of the aircraft than shown on your ticket at no extra cost (but you can get an appropriate refund if you're put in a lower-fare seat).
  • You are re-accommodated on a different flight scheduled to reach your next stopover or final destination within an hour of your original flight's scheduled arrival.
  • Payment and Alternatives:
  • Virgin Atlantic will pay involuntary denied boarding compensation in cash or by check on the same day and at the same place where the denial occurred.
  • If they arrange alternative transportation departing before the payment can be made, they will send the payment to you within 24 hours.
  • If Virgin offers free or discounted transportation instead of cash, the choice is entirely yours, and you can't be forced to accept it.

Changing Travel Plans Due to Government Advice 

  • If government advice from the U.S., U.K., or Commonwealth Office warns against traveling to their regions after you buy your ticket, you can change your plans.
  • Passengers can rebook their new ticket up to 3 months after their original flight, no matter what type of ticket they have.
  • But if there are seasonal supplements, you might have to pay.
  • If your new ticket costs less, they will give you a refund for the difference.

If You Miss Your Flight due to Force Majeure

  • If you miss your flight because of Force Majeure reasons, like a complete shutdown of public transport to the airport, you can get a travel credit for the non-refundable part of your fare. 
  • Tell the airline and provide proof of Force Majeure at the airport, over the phone, or by email.
  • Pay the required administration fee.
  • Keep your original ticket.
  • If they approve your request, you will get a suitable travel credit, minus the administration fee and commission fees.

Virgin Atlantic Cancellation Fee

  • The reason for canceling and the ticket type (refundable or non-refundable) decide Virgin Atlantic's cancellation fee.
  • There are no cancellation fees if:
  • Passengers cancel any ticket within 24 hours of booking, as long as they bought it at least seven days before departure.
  • They cancel a fully flexible ticket at least two hours before departure.
  • You cannot travel due to a natural disaster, force majeure, severe illness, death, or improper documentation. Alternatively, you might get a waiver for the change fee to travel later.
  • Your flight is canceled or delayed by at least five hours.
  • Your flight is rescheduled and does not serve your purpose anymore.
  • For non-refundable tickets, the cancellation fee is the entire fare you paid minus government/airport taxes and fees.
